Our verdict

MyCase fits generalist small firms that want case management, billing, native IOLTA/trust accounting, intake, and client communication in one system without stitching together add-ons. It scores well on ease of use and support, and trust accounting is a genuine built-in strength. Before buying, verify current per-user pricing and annual-commitment terms directly (third-party trackers still show outdated figures), confirm that LEDES/e-billing and court-rules calendaring depth match your practice area, weigh the extra-cost MyCase Accounting add-on for full business accounting, and note the weak mobile-app ratings and the export gap where documents and invoices are excluded from the self-serve backup.

In depth: how MyCase handles the matter lifecycle

Intake begins in MyCase's lead-management/CRM layer (a Pro-tier feature, not in the entry Basic plan): customizable web intake forms by practice area feed a lead pipeline, prospective-client case files, and e-signature, with conflict-check tracking surfaced on the Advanced tier. Won leads convert into matters, MyCase's documented system of record for cases, contacts, companies, custom fields, tasks, and workflow/event automation. Calendaring covers deadlines with Google Calendar and Outlook two-way sync and automated event creation; native court-rules/jurisdiction-based deadline calculation is thinner than dedicated docketing tools and typically leans on partner integrations, so rules-based calendaring should be verified. Billing is a core strength: billable time and expense capture, batch and automatic invoice generation, payment plans, and integrated LawPay/MyCase Payments (PCI/IOLTA-compliant); a separate MyCase Accounting add-on ($39/user/mo) plus QuickBooks integration extend into business accounting. Trust accounting is genuinely native, with trust ledgers, IOLTA compliance, and documented three-way reconciliation-a differentiator versus tools that outsource trust to integrations, and it is available from the Basic tier. Documents live in centralized cloud storage with client-portal sharing, internal templates, and MS Word-based document automation for fee agreements, discovery, and trust/will templates; versioning depth is less clearly documented. Reporting includes customizable financial reports plus case-performance and billing insights.
